1. Who We Are

KaapLiving (Pty) Ltd ("KaapLiving", "we", "us") operates the kaapliving.co.za platform and related services. We are a South African company subject to the Protection of Personal Information Act 4 of 2013 ("POPIA").

2. Information We Collect

From property owners (subscribers)

• Name, email address, phone number
• Property details (address, unit names, access codes)
• Payment and billing information (processed by our payment gateway — we do not store card details)
• Service-usage data: messages sent, bookings recorded, cleaner dispatches

From guests (via WhatsApp on behalf of owners)

• WhatsApp phone number and display name
• Conversation content (booking queries, check-in questions, maintenance reports)

Automatically collected

• Log data, IP addresses, browser type for security and analytics
• Cookies for session management (see Section 8)

3. How We Use It

We process personal information only for the purposes for which it was collected:

• Delivering the KaapLiving service (guest messaging, cleaner dispatch, pricing suggestions)
• Billing and subscription management
• Sending service-related notifications (not marketing, unless you opt in)
• Improving the platform through aggregate analytics
• Complying with legal obligations

We do not sell personal information to third parties.

4. Sharing of Information

We share information only where necessary:

• Payment processors (Paystack): to handle subscription payments securely
• WhatsApp / Meta: messages are delivered via the WhatsApp Business API
• Infrastructure providers: hosting on Railway and Vercel under data-processing agreements
• Legal requirements: if required by South African law or court order

5. Data Retention

We retain personal information for as long as your subscription is active, plus five years thereafter for legal and audit purposes. Guest conversation data is retained for 24 months from the date of the conversation.

6. Your Rights Under POPIA

As a data subject under POPIA you have the right to:

• Request confirmation of whether we hold your information
• Access a copy of your personal information
• Request correction of inaccurate information
• Object to processing in certain circumstances
• Request deletion, where no lawful basis for retention exists
• Lodge a complaint with the Information Regulator at inforegulator.org.za

7. Security

We use industry-standard measures including encrypted storage, HTTPS-only transmission, bcrypt password hashing, and JWT-based authentication. No method of transmission over the internet is 100% secure; we will notify affected parties promptly in the event of a breach, as required by POPIA.

8. Cookies

The kaapliving.co.za website uses only essential cookies required for authentication and session management. We do not use third-party advertising cookies. The dashboard application uses localStorage to store your session token, which you can clear at any time via your browser settings.

9. Changes to This Policy

We will notify active subscribers by email at least 14 days before any material change takes effect. Continued use of the service after that date constitutes acceptance of the updated policy. The "Last updated" date at the top of this page reflects the current version.
